Thank you for choosing Mail Stream for your print and mail needs. Please read these Terms carefully.

Printing letters, artwork and secure documents is a multi-step procedure. Our goal is to make it as simple as possible for our customers. However, no one arrives to success without collaborations; which is what we need from you to fulfill our promise.


First, some terms will be defined to help you follow along. “Original document” is the artwork (or list) that you send to Mail Stream. The term “artwork” may imply any document file that can be printed on paper and/or mailed out. A “list” is a digital document meant for variable data processing; under the umbrella of file types that can be used to process data. A “proof” is an artwork Mail Stream sends to customers for corrections. The “proofing process” is the exchange of proof versions and corrections between Mail Stream and customers. The “Final Proof” is the finalized document that will be used for printing and/or mailing purposes. “Final Proof Confirmation” is the approval given to Mail Stream by the customer to print the Final Proof, affirming that the customer had reviewed the Final Proof in great detail and found no issues to correct.

An artwork that you send to Mail Stream is the original document. Our design team will create the proper layout, then send you the proof by email, mail or delivery (Live Proof) upon request. During the proofing process, several proofs may be exchanged between customer and Mail Stream, with titles such as v1, v2, v3,… etc. It is the customer’s responsibility to review the proof carefully and to inform Mail Stream design team members or the primary contact from Mail Stream about any necessary changes prior to Final Proof Confirmation.

Please review the proofs with great care and attention. Mail Stream is not responsible or liable for printing Final Artwork that has spelling mistakes, wrong photographs, low resolution photographs/logos/artwork provided by customers, names, dates, addresses & any other information if the Final Proof Confirmation took place prior to printing. We may contact you about spelling errors, however do not rely on us to catch these mistakes. You are more familiar with your own artwork & designs, use it to your advantage.
